KeepnTrack Tip of the Week

For the week of 01.05.09

Operator Access Levels

Overview

Operators is a menu choice in KeepnTrack. Each school/district may have as many operators as necessary. Operators are made unique through Login IDs and a Password. They define the privileges of any one individual or logged-in machine. For example a school administrator may have different Admin privileges than a school staff person. And the staff person may have different privileges than a volunteer that may only have access to the Kiosk interface. (In the People menu, under the Security tab, there is the option to set up personal logins. This can be used for example for volunteers that want to check their volunteer hours or make additions or changes to their volunteer activities).

There are three Access Levels in KeepnTrack. They are Account, Facility and Regular. These Access Levels are assigned on the top of each Operator details window via a pull down menu.

Account Access Level

The Account Access Level is the level where the user has access to all KeepnTrack functionality. This level is to be used by the main KeepnTrack administrator(s). If different Facilities have been created, they have access to all facilities. They also have access to all Admin and Kiosk permissions whether or not the various boxes are checked or not. Account Level is the only level that has access to the Account menu and the Import menu. They are also the only ones able to delete Operators.

Facility and Regular Access Levels

Facility Level Operators can create or modify other Operators at the Facility and Regular Access Levels but they cannot create or modify Account Level Operators. Regular Level Operators can only create or modify Regular Level Operators. Neither can delete Operators. Also, neither have access to the Account menu or the Import menu.

By taking advantage of the Operator Access Levels, you can insure that the proper people are accessing the appropriate KeepnTrack interface windows and have the appropriate privileges. Also this is the means by which a Self-Service Kiosk interface can be defined and accessed.
