Importing Data
Overview
The Import feature in KeepnTrack expedites the adding/updating of People information. “People” is a menu choice which may include Students, Staff, Volunteers and/or Vendors. Although information for People may be added or changed at any point manually, significant time can be saved by importing data from an existing file. Only Operators with Account Level privileges can access the Import menu. The import feature is accessed via the Import menu.

Creation of File to Import
If you have a file that contains records that you would like to import into KeepnTrack you must first save the data in a tab delimited text format. Most
applications include the ability to export data and save it in a text format.

Import Options
Click on the Help button in KeepnTrack for definitions for Duplicate Handling and Data File Encoding. For most users and situations Duplicate Handling should be left at Update and Data File Encoding should be left at None. By clicking on the Browse button you can then locate and identify the text file you wish to import.

On the field mapping screen the left column shows the fields that you have in your data and on the right column are pull down menus with the KeepnTrack fields that you can then match to your data.
Once you have become familiar with the import capabilities of KeepnTrack you can use this easy to use and straightforward tool on an ongoing basis to add and update People information.
