KeepnTrack Tip of the Week

For the week of 10.05.09

Access Control

Overview

Access Control is a menu choice that allows further definition of those allowed or disallowed to sign into the KeepnTrack system via the Kiosk. This feature would mainly be used for Visitors signing into KeepnTrack because all others would have been previously identified and entered into the system. Visitors are also the ones that will have the automatic check against the sex offender database. It is reasonable to assume that there are visitors that are welcome in your schools that will have names that could match this database and therefore would initiate the notification responses in KeepnTrack.

For example, if there is a member of the community that you anticipate to regularly visit your school you can use Access Control to allow them access even when their name and birth date would flag them in the offender database. Conversely, there may be members of your community that you want to prevent from having access to your school(s) by identifying them in Access Control

Identification Criteria

The criteria used to identify a visitor attempting to sign into KeepnTrack via the Kiosk is their first and last name and their birth date. This is also the criteria used to allow or deny access in Access Control.

Administrative Access

Operators with an Account Level have automatic access to Access Control and thus the ability to add, delete or modify information. Those with Facility or regular level access must have Access Control enabled in the Admin Permissions of their particular Operator screen.

Operators using the regular (not self-service) Kiosk with Access Control Permissions have the ability to approve or disapprove a visitor once or permanently via the Kiosk interface while signing in a visitor. If either of the permanent options is selected a new Access Control record is created and then may be edited in the Administration side of KeepnTrack.

When using a self-service Kiosk the person denied access via Access Control would receive a message that, “You cannot sign in at this time.  Please see the main desk”.

Access Control thus fine-tunes and streamlines the Kiosk sign in process based on information you have about specific members of your community. This helps maintain security and insures a positive sign-in experience for visitors to your school.
